Challenges

As Jonathan put it:

There’s only 24 hours in a day. If I can invest in something that makes our use of those hours more effective, that’s a no-brainer.

Along with notes, clinicians would spend a lot of time on admin tasks such as arranging ongoing care, investigations, reviews, and patient follow-up. Overall, the admin burden of notes and post-care tasks were not only causing after-hour burnout, but also inadvertently affecting the quality of care provided.

Solution

Heidi was introduced as a way to streamline documentation. What surprised the team most was that the real benefit wasn’t saving time - it was improving the quality of consultations.

We thought Heidi would save time. In fact it improved quality, it made the consults better. The vets are more focused on the pet, and the clients feel more listened to.

With Heidi, notes are completed during the consult, leading to better communication, fewer missed details, and happier clinicians who no longer dread the admin backlog. The practice also began exploring Heidi’s Tasks functionality to automate next steps, ensuring follow-ups, lab results, and callbacks are handled seamlessly. They’re now trialling Heidi Calls - an AI-powered phone system to automate routine requests - extending Heidi from a transcription tool into a true AI care partner.

Impact

Jonathan’s team at VetsforPets Worcester no longer spends hours buried in admin. With Heidi capturing every detail and managing follow-ups, consultations run smoother, communication is clearer, and the whole clinic works with greater focus and consistency.

  • Higher consultation quality: Since July 2025, Heidi has transcribed 73,734 minutes across 4090 sessions - clinicians stay fully engaged with patients and owners, while Heidi captures every detail.
  • Happier clinicians: With an 89% adoption rate across the team, clinicians are experiencing less admin, more focus, and better communication.
  • Improved workflows: Tasks and Calls are transforming operations, freeing staff from repetitive duties and ensuring consistent client communication.
