About Your Role
The Event Specialist plays a key role in delivering high-quality events that engage clinicians, partners, and the broader healthcare community. This role is responsible for leading external events end-to-end - such as conferences, webinars, and partner activations - while also supporting the Field Marketing Lead to execute Heidi-owned events, including roadshows, launch events, and in-person education nights.
Based in either Sydney or Melbourne, this role requires hands-on execution, strong stakeholder management, and excellent organisational skills. You’ll collaborate cross-functionally with clinical, marketing, operations, and partnerships teams to ensure all events are aligned with Heidi’s brand and strategic goals.
What You’ll Do:
1. External Events — Owned End-to-End (Your Primary Ownership)
Plan, coordinate, and deliver external events such as:
Conferences and exhibitions
Webinars and virtual events
Partner-led clinical sessions
Third-party healthcare and industry events
Manage all logistics including booth bookings, supplier engagement, merch and collateral, speaker coordination, shipping, and onsite execution.
Create run sheets, timelines, and checklists to ensure smooth delivery.
Serve as the onsite lead representing Heidi and ensuring brand consistency (where appropriate), and work closely with sales teams to allocate resources to events across the APAC region.
Manage event lead generation, from form creation to lead uploads and attribution tracking.
Manage event budgets, track performance metrics, and prepare post-event reports.
Collaborate closely with Sales and Partnerships to ensure event strategy aligns with regional growth priorities.
2. Heidi-Owned Events — Support the Field Marketing Lead (Collaborative Delivery)
Assist the Field Marketing Lead with the planning and execution of Heidi-owned flagship events, including:
National and state-based roadshows
Market, product, or clinic launch events
Education nights and in-person training
Community activations or clinician engagement events
Executive dinners
Support logistics, vendor management, collateral production, attendee coordination, and onsite delivery.
Contribute to building scalable playbooks and operational processes for repeatable event execution.
Operational & On-Site Coordination
Lead setup and pack-down for all assigned events.
Coordinate registration, check-in, hospitality, accessibility needs, and attendee experience touchpoints.
Oversee vendors on the day (AV, catering, venue, photography, etc.).
Troubleshoot issues quickly and maintain a high standard of delivery under pressure.
Marketing & Communications Support
Work with the Marketing and Content teams on promotional plans, invitations, social posts, landing pages, and email campaigns.
Create and maintain event collateral such as signage, agendas, name badges, presentations, and surveys.
Ensure event messaging, visual identity, and tone of voice are aligned with the Heidi brand.
Maintain an organised system for event assets, including booth materials, signage, equipment, and merchandise, ensuring availability and upkeep.
Data, Tracking & Continuous Improvement
Track event metrics including attendance, engagement, costs, and ROI.
Capture insights and feedback to improve impact and efficiency over time.
Maintain an organised events calendar and ensure alignment across teams.

What You Bring:
2+ years experience in event coordination or event management.
Experience delivering both in-person and virtual events.
Strong project management and organisational skills, with the ability to manage multiple events simultaneously.
Vendor management experience and comfort negotiating contracts, quotes, and logistics.
Strong communication skills — confident interacting with clinicians, partners, and internal teams.
Intermediate technical skills (Google Workspace, basic design or layout tools, CRM or event registration platforms).
Ability to travel as required for event delivery.
