1. Product Overview

1.1 About Heidi Remote

Heidi Remote is a wearable microphone designed to receive audio. It can transcribe clinical conversations during a patient visit and sync transcripts to the Heidi App in real time. It can also transcribe offline when disconnected. The device is suitable for use in a range of professional settings.

2. Safety & Precautions

• Do not disassemble or modify this product. Doing so may cause malfunction or damage. If service is required, please contact support@heidihealth.com.
• This product uses a built-in lithium battery. Do not disassemble the battery, and do not expose it to high temperatures, fire, or other heat sources.
• Use only recommended charging specifications (5V / 500–1000mA).
• Avoid long-term exposure to high-temperature or humid environments.
• Do not immerse the product in water.
• When used in environments with strong magnetic fields, electromagnetic interference, wireless signals, or high voltage, the transcription may not function properly.
• The device contains magnetic components. Keep away from implanted medical devices such as pacemakers or defibrillators.
• Keep out of reach of children. Small parts and magnets may present a choking or ingestion hazard.

3.2 LED Indicator System

The LED indicates the device status. The table below shows LED behavior for each state and its trigger actions.

• Transcribing and syncing cannot occur at the same time.
• If transcribing starts while a sync is in progress, the sync pauses and resumes once transcribing is complete.
• When the device is powered on, functional states (transcribing, data transfer, etc.) take priority over charging states.

4. Setup & Pairing

4.1 Power On / Off

• Press and hold the Power button for 2 seconds to power on or off.
• White solid LED indicates standby mode.

4.2 Connect to Heidi App

1. Download the Heidi App via the App Store or by visiting heidihealth.com/download.
2. Sign in to your Heidi account.
3. Go to Settings → Add Device.
4. Keep the device nearby.
5. Follow the in-app instructions to connect.

Pairing is required only once.

5. Wearing & Placement

For optimal audio quality, position the device near your upper chest area.

5.1 Wearing Options

• Magnetic through clothing (recommended)

• Attach directly to a magnetic metal surface

5.2 Placement Guidelines

• Secure and stable
• Microphone unobstructed
• Position on your upper chest, near the collar line
• Follow your facility’s safety policies when using the lanyard

6. Transcribing Workflow

6.1 Start

• Press the Transcribe button to start transcribing.
• By starting a transcription, you confirm that you have obtained all necessary consent from participants.
• A solid red LED indicates active transcribing.

6.2 Pause

• Press the Transcribe button again.
• Yellow solid LED indicates paused state.

6.3 Stop & Save

• Press and hold the Transcribe button for 2 seconds.
• The LED returns to white, indicating that the transcribing has been saved.

7. Syncing

Heidi Remote syncs transcripts automatically. Here’s how syncing works under different connection states.

7.1 Connected (Live Sync)

When connected to the Heidi App:

• Transcribing syncs in real time
• Device and app controls remain synchronized

7.2 Disconnected

If connection is interrupted:

• Transcribing continues in offline mode
• Data is stored securely on the device

7.3 Automatic Reconnection

Upon reconnection:

• Offline transcripts sync automatically
• Sync occurs in the background
• The LED blinks white slowly during transfer

7.4 Sync Protection

• Transcribing is prioritized over syncing
• Interrupted sync resumes automatically

7.5 Syncing (with USB Transfer Mode on Desktop)

When connected via USB-C to a Windows or macOS computer, Heidi Remote transfers session data to the Heidi desktop app significantly faster than Bluetooth or Wi-Fi — especially useful for large recordings or busy clinical workflows.

Enable USB Transfer Mode

USB transfer mode is disabled by default. To enable it:

1. Install the latest Heidi desktop app (Windows or macOS).
2. Power on Heidi Remote and connect it to the desktop app.
3. Enable USB syncing using one of the following methods:
   1. Option A — From Device Settings: Go to Settings → Devices → Turn on USB-C upload and toggle it ON.
   2. Option B — From the sync widget: Open the syncing widget in the bottom-right corner of the Heidi desktop app, click the expand icon, then click Switch to USB-C.
4. Connect Heidi Remote to your computer using a USB-C cable. Syncing begins automatically once sessions are available.

Note: Some organizations restrict USB devices via IT security policies. If USB sync does not work, contact your IT team and ask them to allow Heidi Remote for USB-C use with the Heidi desktop app.

8. Device Removal & Reassignment

This section explains how to remove your Heidi Remote from your account and prepare it for use with another account.

8.1 Remove Device via the App (Recommended)

Use this method to safely unpair your device through the Heidi App. This helps ensure a clean disconnection while preserving your data.

Before you begin: Ensure all transcripts have been synced to the app.

To remove the device:

1. Open the Heidi App and navigate to device settings.
2. Select Remove Device. The app will automatically check for unsynced transcripts.
3. If unsynced sessions are found, follow the on-screen prompts to sync them before proceeding.

Once confirmed, the system will:

• Unlink the device from your Heidi account
• Delete local data on your Heidi Remote
• Removes the wireless binding from the device

The device will then return to an unbound state, ready to pair with a new account.

8.2 Perform a Factory Reset

Use this method to reset the device hardware itself.

Note: If you perform a physical reset without first removing the device via the app, the device will still appear in your Heidi App account. To fully reassign the device, the original user must remove it from their account using the method in section 9.1.

To reset your device:

1. With the device powered on, quickly press the Power button 3 times.
2. The LED indicator will flash white rapidly, confirming the reset program has started.
3. To confirm and complete the reset: Press and hold the Power button for 2 seconds during the light flashing.

What this reset does:

• Delete local data on your Heidi Remote
• Removes the wireless binding from the device

9. Charging & Battery

• Use 5V / 500–1000mA adapter
• Do not use fast charging adapters
• The device can be used while charging
• Low Battery: The LED blinks yellow when you start or save a transcript. This indicates the battery may not support another full session. Charge the device before your next session.

9.1 Auto Power-Off

When Heidi Remote is on standby (solid white LED) and disconnected from the Heidi App, the device will automatically power off after 5 minutes to preserve battery life.

What are the Disconnected states?

The device is considered disconnected when any of the following apply:

• Heidi Mobile or Desktop App is closed
• Heidi Remote is out of Bluetooth range
• Bluetooth is turned off in your device settings

The auto power-off timer does not run while the device is actively transcribing or charging.

11. Cleaning & Maintenance

11.1 Cleaning

If using in a clinical environment, to maintain hygiene, disinfect the device between uses:

1. Use a soft cloth or wipe dampened with 70% isopropyl alcohol (IPA) or equivalent medical-grade disinfectant.
2. Gently wipe all external surfaces.
3. Allow the device to air dry before reuse.

Important

• Do not immerse the device in liquid.
• Do not spray disinfectant directly into the microphone opening or USB-C port.
• Avoid abrasive materials that may damage the surface.

11.2 Antibacterial Housing

The device housing incorporates antibacterial materials tested by an SGS-authorized laboratory.

Testing confirms inhibition of common microorganisms such as:

• Escherichia coli
• Staphylococcus aureus
• Candida albicans

Antibacterial material reduces microbial growth on the device surface but does not replace routine cleaning protocols.

Users must continue to follow institutional infection control guidelines.

11.3 Storage

• Store in a dry environment.
• Avoid extreme temperatures.
• Keep away from strong magnetic fields when not in use.

12. Warranty Policy

If your device is faulty or stops working within the expected life of the product, you may be entitled to a remedy. We offer a 12-month warranty from the date of delivery, under which the Device will be free from defects in materials or workmanship that prevent it from functioning in accordance with its intended purpose.

This warranty does not cover misuse, accidental damage, unauthorized modification, normal wear and tear, improper operation or maintenance, force majeure events, or use contrary to instructions. Devices damaged through accident, misuse, exposure to extreme conditions, unauthorized modification, or disassembly are not eligible for return, replacement, or refund under this warranty.

To make a warranty claim, contact us at support@heidihealth.com with your proof of purchase, device serial number, a description of the issue, and any supporting evidence. We will first work with you to troubleshoot the issue. If the issue cannot be resolved through troubleshooting, we may request photographic or video evidence before determining the appropriate remedy. We may also request return of the Device for inspection. Depending on the nature of the fault and your location, the remedy may be a replacement or refund.

13. Usage in Clinical Settings

Heidi Remote is a general-purpose audio capture peripheral. It is not supplied as a medical device and is not regulated as a medical device or an accessory to a medical device in any jurisdiction. Heidi Remote can receive audio during conversations. When used in a healthcare setting, the user remains solely responsible for all professional and clinical decisions.

13.1 Data Protection and Encryption

Each Heidi Remote is linked to a single account using a unique pairing code, ensuring that audio captured on the device can only be accessed by you. Audio is encrypted directly on the device and decrypted exclusively by your account. All data is transferred to Heidi’s servers over HTTPS using TLS 1.2 or higher. Once your note is ready, the audio file is automatically removed from the device. Generated notes are stored encrypted on Heidi’s servers and retained in accordance with your configured data retention settings.

13.2 Regulatory and Compliance Information
